What we collect
From property owners we collect: name, contact details, property address(es), banking details for disbursement, and tax-relevant information for the annual statement.
From rental applicants and tenants we collect: name, contact details, ID documentation, employment and income verification, credit-check results, references from prior landlords, and Tenancy Tribunal history.
From website visitors we collect: pages visited and basic technical information (browser type, IP) through standard server logs and privacy-friendly analytics. We do not use third-party advertising cookies.
How we use it
Owner and tenant information is used only to operate the tenancy: communicating with you, collecting rent, coordinating maintenance, meeting our legal obligations under the Residential Tenancies Act, Healthy Homes Standards, Privacy Act 2020, and IRD reporting.
Appraisal-form submissions are used to prepare the appraisal we send back. We do not sell, rent, or share this data with any other party.
Who sees it
Information is accessed by Propr team members directly involved in managing your tenancy, by software providers we use to operate the business (Keyhook, our hosting provider, and email provider), and by third parties where the law requires it (Tenancy Services, the Tenancy Tribunal, IRD, credit agencies in the application step).
Your rights
Under the Privacy Act 2020 you have the right to access the personal information we hold about you, to correct it if it's wrong, and to request deletion where we don't have a legal obligation to retain it.

Retention
We keep tenancy records for seven years after the tenancy ends to meet our tax and legal obligations. After that, records are securely deleted.
Security
Data is stored on encrypted servers in secure facilities. Access is limited to Propr team members who need it to do their job. We use multi-factor authentication on every internal system.
Changes to this policy
If we update this policy we'll change the effective date above and, for material changes, email anyone with an active relationship with Propr.
